Florida Orienteering - 2007 Annual Meeting


Date/Time: December 28, 2007 - 7pm
Location   : Anrea Canelos residence, 1208 Clinging Vine Place, Winter Springs, FL

The meeting was called to order at 7:15 PM and began with an introduction of the attendees.

                   Greg Owens, Bob and Janet Putnam,
                   Will & Andrea Pirnasch, Jerry Sirmans

A valid quorum of FLO members and Directors were present.

Treasurer's Report - The treasurer was unable to attend due to family commitments. His report was presented to the meeting by Bob Putnam; a copy is available on request. The club currently has a balance of $11,383.52.

Membership / Newsletter Report - Mike Dempsey:
As of December 15 we had a total of 72 members of varying classes. This is an increase from last years 65, and now includes 5 Lifetime members.
A total of 14 JROTC units are now paid-up members.
A total of about 25 copies of the newsletter are now being sent by mail. The remaining copies are being distributed as PDF files via the web site, with a reminder email. All associate clubs now receive their newsletter via email.

Mapping / Event Report - Bob Putnam:
No new maps were created or updated in 2007.
A total of 1274 starts were recorded at our 10 regular events, plus the Bubba Goat.

Old Business:

Mapping Plans
We have contracted with Ales Hejna to update the following maps in Febuary 2008:
    Croom, Ocala Forest (all areas).
He will also map the new section that has recently been added to Kelly Park.

Permanent Courses
The permanent course at Moss Park is well under way. The county have already purchased the required posts etc, and allocated a kiosk for the informational displays, but we have yet to receive the final copy of the brochure for validation. The county will take care of the cost of printing the brochure.
The permanent course at Tibbet Butler has been delayed due to a requirement that they obtain permission from the water authority.

Tax Exempt status
A determination letter has been received from the IRS indicating that our request for Federal 501c status is beeing processed.

Florida Championships
Jerry announced the winners of the 2007 Florida Championships and awarded medals to those present. The remainider will receive them by mail.

Safety Procedures
We did not have to launch any Search and Rescue efforts in 2007.
The ROTC leaders gave detailed safety instructions to their cadets at the Kelly Park event. It was generally agreed that they need to do this before each event as most of our 'lost' orienteerers are ROTC cadets.

Map Printing
Jonathen will continue printing the maps but has requested that we find a backup. It was suggested that we keep our copy of OCAD on a removable USB drive rather than installing on any one system. This will allow someone other than Jonathon to use the application when needed.
It was suggested that we print fewer maps as we are currently using only about half of those we print. Additional blank maps would be printed in order to allow these to be used for any course in which we run out of the pre-printed maps.
We discussed the posibility of purchasing a new printer but no decision was made. Jonathon will look into the cost but warned us that it would probably be in the $800 to $2000 range.

Park Relations
Croom is now allowing us to have up to 250 people at our events.
Our relations with Wekiva have greatly improved since a new park manager was installed. We were once again allowed to stage out of the group camping area.
After a rough period at Kelly park (Due to last year's Search & Rescue) we are again in their good graces. [The park manager stopped by our registration desk at least 3 times at the December event.]

New Control/Waiver card
The new card has generally been a success but suggestions have been made that might inprove the completeness of the information provided. Will Pinnasch has volunteered to create a Word version of the card and incorporate these new ideas before we print the next batch.
